Privacy Notice

This notice sets out how we will use the information you provide with your entry submission to the Apprenticeship Awards 2018.

Who are we?

All information will be held by The Berkeley Group plc who is the data controller and responsible for deciding how we process your personal data. Your information may also be shared with the relevant Berkeley operating company who is supporting your application.

What information do we collect and why?

By submitting your entry and providing your information to us, you are consenting to us using your information as set out below. In the event that you withdraw your consent to us processing your information in this way, it will not be possible to consider your application any further.

  • We will use the information you provide about your apprenticeship, the college you attend and the site where you work, to verify that you qualify to enter the awards
  • Your name and contact details are captured so we can contact you if you are shortlisted for an award
  • The approval and supporting statement from your line manager allows us to ensure each entry is genuine and supported by the company for which you work

How is your information used?

Following the deadline for entry submissions, all entries received will be anonymised and sent to a shortlisting panel of three judges within The Berkeley Group plc.

The shortlisted entries will remain anonymous and will then be sent on to a panel of external judges, consisting of representatives from the local authorities, industry bodies, further education providers and the Greater London Authority.

Shortlisted entrants will then be asked to provide a photo to be used at the awards ceremony. You will also be invited to attend the awards ceremony on Tuesday 25 September 2018 when the winners will be announced.

How long do we keep your information for?

We will keep the information you have submitted with your entry for the following periods after the awards ceremony:

  • Six months if you are not shortlisted 
  • Twelve months if you are shortlisted
  • Twelve months if you are a winner of an award


Your rights

Data protection laws provide individuals (subject to certain exceptions) with certain rights in respect of their personal data:

  1. The right to be informed about how their personal data is collected and used
  2. The right of access to their personal data held by Berkeley
  3. The right to have inaccurate personal data rectified, or completed if it is incomplete
  4. The right to erasure of their personal data in certain circumstances
  5. The right to restrict the processing of/ limit the way in which Berkeley uses their personal data in certain circumstances
  6. The right to move, copy or transfer their personal data in certain circumstances (right to portability)
  7. The right to object to the processing of their personal data in certain circumstances
  8. The right not to be subject to a decision based solely on automated processing which significantly affect them

If you wish to exercise any of the rights above, please address them in writing to the Group Legal Department.

If you are concerned about the way we have processed your personal data, you may complain to a supervisory body, the ICO - www.ico.org.uk. Although you have a right to complain to the ICO, we encourage you to contact us first with a view to letting us help in resolving any queries or questions.
