Job Purpose: Support the team in the creation of the monthly Estate Management Pack which includes details of the finical health of all sites in the portfolio (service charge debtors, completions, budgets & AvB expenditure) insurance claims, health & safety, fire safety, ground rents etc.

Responsibilities and Accountabilities:

  • Interrogate annual service charge budgets
  • Review and prepare for sign off service charge year end accounts
  • Work with the managing agents and third party contractors to ensure that they understand Berkeley business motivations, acting in accordance with Berkeley's high standards and expectations
  • Carry out monthly site estate inspections and issue estate monthly reports
  • Attend monthly meetings with the managing agents to go through H&S, service charge status and general estate matters
  • Log, monitor and efficiently and effectively close out on-going issues relating (but not limited) to leaseholder and tenant issues, building defects, Freeholder and title matters, licences and insurance
  • Deal with leaseholders queries quickly and efficiently in order to mitigate or resolve complaints
  • Attend, when required, out of hours leaseholder meetings
  • Monitor and flag any issues in the Heat Metering and Billing Agent relationship (inc billing reconciliations, efficiencies, debtors, tariff appraisals etc)
  • Managing and completing contract renewals
  • Liaising with other teams within the business to ensure that estate management matters are dealt with appropriately 
  • Manage issues and undertake tasks on varied aspects of Property and Development Management as they arise
  • Manage RSL relationships within existing sites
  • Assisting on management tenders for new developments
  • Assisting on estate management strategies for new land acquisitions
  • Assist the department and business in developing legal structure and setting Leases and Agreements (using Group Templates)
  • Assist with Notice of Transfers, Licence for Alternations, Due Diligence reporting, Deeds of Variation, Pet Licences etc
  • Assist with Ground Rent due diligence for Group Legal
  • File keeping on Land and Planning, Licences and signed off Conditions
  • Liaison person for Berkeley Homes (NEL) on Insurance policy and premiums
  • Monitor claims, liaise with brokers, loss adjusters and managing agents
  • Address long term outstanding or problematic insurance claims or subrogated claims
  • Act in accordance with the company Sustainability Framework
  • Assist with Community Sustainability directives

Technical Competencies: 

  • Membership or working towards membership to the IRPM
  • Excellent written and verbal skills
  • Competent / advanced skills in all Microsoft packages
  • Suitable experience or a professional qualification in Estate / Property Management
  • The ability to effectively control emotions when exposed to difficult situations
  • The aptitude to be able to adopt a pragmatic and common sense approach and demonstrate a sense of ownership at all times
  • To operate with consistent effort, overcoming obstacles in order to achieve a goal
  • To be self-driven with a willingness to learn, adopting a 'can do' mentality and work ethic
  • Good organisational and diary management skills to enable completion of all tasks required on a monthly basis with the capacity to be able to pick up reactive issues
  • The ability to enjoy working independently and be self-motivated
  • To be able to work well and compliment the dynamic of a small team as well as the ability to work with wider internal and external groups
  • Have a positive and polite approach to work and a general positive attitude and demeanour
