Job Purpose: To provide administrative support to the Development director and Sales director.

Responsibilities and Accountabilities: 

Directors -

  • Process expenses
  • Process invoices
  • Inbox management
  • Preparation for meetings and minutes
  • Format and issue key correspondence

Wider Team -  

  • Prepare agendas and briefing notes for key meetings
  • Attend weekly team meetings and take minutes when required
  • Collate and bind packs for other meetings as required
  • Arranging meetings / events, sourcing of venues, compiling a guest list and managing the responses
  • Proof reading important / confidential documents
  • Data Management - Organise internal development drive and save down key documents
  • Invoicing/POs - Raise Purchase Orders and keep track of all invoices and budgets for both potential and current developments for cost review meetings
  • Process expenses
  • Annual leave - review and process all team leave requests
  • Sickness - keep monthly track of sickness for the team and ensure forms and processes have been completed
  • Ensure team training is up to date
  • Answer telephones - assist or take a message
  • IT - first point of contact for IT problems, raise tickets and chase up to ensure problems are resolved quickly
  • Meeting rooms - book ensuring all catering / IT is set up as required
  • Booking couriers and collections
  • Order stationary
  • Send, collect and distribute all outgoing and daily incoming post
  • General admin filing, photocopying, maintaining databases etc

Other departments / PA support

  • Ad-hoc support for other Directors within the business
  • Covering for other PAs and business support team
  • Cater for meetings and reception cover as required

Technical Competencies:

  • Must have a good understanding of windows, excel and Microsoft office packages including Word, excel and PowerPoint
  • Good understanding of SharePoint
